Troop Committee Organization and Responsibilities

 The troop committee is the troop's board of directors and supports the troop program. But you ask, "What does the troop committee do?" The troop committee does the following:

Ensures that quality adult leadership is recruited and trained. In case the Scoutmaster is absent, a qualified assistant Scoutmaster is assigned. If the Scoutmaster is unable to serve, a replacement is recruited.

Provides adequate meeting facilities.

bullet

Advises the Scoutmaster on policies relating to Boy Scouting and the chartered organization.

bullet

Supports leaders in carrying out the program.

bullet

Is responsible for finances, adequate funds, and disbursements in line with the approved budget plan.

bullet

Obtains, maintains, and properly cares for troop property.

bullet

Ensures the troop has an outdoor program (minimum 10 days and nights per year).

bullet

Serves on boards of review and courts of honor.

bullet

Supports the Scoutmaster in working with individual boys and problems that may affect the overall troop program.

bullet

Provides for the special needs and assistance some boys may require.

bullet

Helps with the Friends of Scouting campaign.

bullet

Assists the Scoutmaster with handling boy behavioral problems.

 The following are the positions that the Troop 44 Committee maintains in order to ensure that the Troop is organized and run in a manner that is set by the Boy Scouts of America.  The Committee's purpose is to support the Troop program implemented by the the Scoutmaster.  To have a well developed and presented program that is critical to the Scouting experience of our sons, a significant amount of planning, scheduling, and PAPERWORK is executed behind the scenes.   Volunteers are always welcome and always needed.

Outdoor Activities Coordinator

Help in securing permission to use and reserving camping sites.

Serve as transportation coordinator.

bullet

Ensure a monthly outdoor program.

bullet

Promote the National Camping Award.

bullet

Promote, through family meetings, attendance at troop campouts, camporees, and summer camp to reach the goal of an outing per month.

bullet

Secures tour permits for all troop activities.

bullet

Reports to the troop committee at each meeting.

Summer Camp Coordinator Duties:

Works closely with the outdoor activities coordinator as a back-up but is solely responsible for summer camp planning after a camp location is selected.

Develops the transportation plan for summer camp.

bullet

Drives camp attendance.

bullet

Works with the Medical Form Coordinator to ensure that all participants at summer camp have competed a BSA Medical Form Parts A, B, and C.

Equipment Coordinator Duties:

Supervise and help the troop procure camping equipment.

bullet

Work with the quartermaster on inventory and proper storage and maintenance of all troop equipment.

bullet

Make periodic safety checks on all troop camping gear, and encourage troops in the safe use of all outdoor equipment.

bullet

Report to the troop committee at each meeting.

Membership Coordinator Duties:

Develop a plan for year-round membership flow into the troop.

bullet

Work closely with the Cubmaster and Webelos den leader of neighboring Cub Scout packs to provide a smooth transition from pack to troop. Assist in developing and recruiting den chiefs, and assist in the crossover ceremony from Webelos Scouts to Boy Scouts.

Plan and coordinate a troop open house to invite non-Scouts into the troop.

bullet

Encourage Scouts to invite their friends to join the troop.

bullet

Keep track of Scouts who drop out of the troop, and develop a plan to encourage them to rejoin.

Secretary Duties:

Keep minutes of meetings and send out committee meeting notices.

bullet

Handle publicity in conjunction with the COR and the Committee Chair.

bullet

Prepare a family newsletter or Web page of troop events and activities.

bullet

Conduct the troop resource survey.

bullet

Plan for family night programs and family activities.

bullet

At each meeting, report the minutes of the previous meeting.

Treasurer Duties:

Handle all troop funds. Pay bills on recommendation of the Scoutmaster and authorization of the troop committee.

bullet

Maintain checking and savings accounts .

bullet

Train and supervise the troop scribe in record keeping.

bullet

Keep adequate records in the Troop/Team Record Book.

bullet

Supervise money-earning projects, including obtaining proper authorizations.

bullet

Supervise the camp savings plan.

bullet

Lead in the preparation of the annual troop budget.

bullet

Lead the Friends of Scouting campaign.

bullet

Report to the troop committee at each meeting.

Chaplain Duties:

Provide a spiritual tone for troop meetings and activities.

bullet

Give guidance to the Scout chaplain aide.

bullet

Promote regular participation of each member in the activities of the religious organization of his choice.

bullet

Visit homes of Scouts in time of sickness or need.

bullet

Give spiritual counseling service when needed or requested.

bullet

Encourage Boy Scouts to earn their appropriate religious emblems.

bullet

Report to the troop committee at each meeting.

bullet

Plan Scout Sunday ceremony.

Training Coordinator Duties:

Ensure troop leaders and committee members have opportunities for training.

bullet

Maintain an inventory of up-to-date training materials, videotapes, and other training resources.

bullet

Work with the district training team in scheduling Fast Start training for all new leaders.

bullet

Be responsible for BSA Youth Protection training within the troop.

bullet

Encourage periodic youth leader training within the troop and at the council and national levels.

bullet

Report to the troop committee at each meeting.

bullet

Be watchful that the troop is taking all steps to ensure the boys' safety.

Medical Form Coordinator

Ensure that every member of the Troop has a current BSA Medical Form filled out and on file with the Troop

bullet

Maintain the master hardcopy of all the Troop Medical Forms.  Forms are required to be with the Scoutmaster on all Troop trips and a second traveling copy will be needed.  All Social Security Numbers if present on the traveling copy should be blacked out before presented to the Scoutmaster.

Maintain a record of when individual medical forms will be expiring.

bullet

Track part A and B uniquely from Part C which is required for all trips over 72 hours.

bullet

Ensure that TroopMaster is up to date with Medical Form dates and details.

bullet

Notify on a monthly basis the members whose Medical Form will expire that month to ensure an updated form is complete as soon as possible.

New Scout Parent Coordinator Duties:

Welcome all new Scout parents and provide them with information about the troop.

bullet

Provide an orientation for new Scout parents about how the troop works .

bullet

Assign parents to help with at least one specific task, assignment, or project annually.

bullet

Keep parents updated on the troop's program and their son's involvement.

bullet

You will help organize parent support for the Troops Scouting program.

Advancement Coordinator Duties:

Encourage Scouts to advance in rank.

bullet

Work with the troop scribe to maintain all Scout advancement records.

bullet

Arrange quarterly troop boards of review and courts of honor.

bullet

Develop and maintain a merit badge counselor list and works closely with the Merit Badge Counselor Coordinator.

bullet

Make a prompt report on the correct form to the council service center when a troop board of review is held. Secure badges and certificates.

bullet

Work with the troop librarian to build and maintain a troop library of merit badge pamphlets and other advancement literature.

bullet

Report to the troop committee at each meeting.

Committee Chair Duties:

Organize the committee to see that all functions are delegated, coordinated, and completed.

bullet

Maintain a close relationship with the chartered organization representative and the Scoutmaster.

bullet

Interpret national and local policies to the troop.

bullet

Prepare troop committee meeting agendas.

bullet

Call, preside over, and promote attendance at monthly troop committee meetings and any special meetings that may be called.

bullet

Ensure troop representation at monthly roundtables.

bullet

Secure top-notch, trained individuals for camp leadership.

bullet

Arrange for charter review and recharter annually.

bullet

Plan the charter presentation.

bullet

Works with Scout parents to recruit new Committee members to fill the needed positions to make the Troop run as efficiently as possible.

Crossover Coordinator        Duties currently being executed by the Membership Coordinator

Responsible for organizing the Troops attendance and participation at Pack crossovers into Troop 44

bullet

Works closely with the Scoutmaster, Committee Chair and local Cubmaster's in the scheduling of local crossovers.

bullet

Responsible for all ceremony preparations and Scout attendance from the Troop.

bullet

Responsible for ensuring ample Scout Handbooks and neckerchiefs are available for our new Scouts.
